Academy Policies

Please review the following Academy policies.
These policies are in place to ensure smooth operations, fairness, and a positive learning environment throughout the year. We thank you for your understanding, cooperation, and continued support.


 
Auditions & Registration

Students and parents are encouraged to attend one audition session, during which they will have the opportunity to meet at least director and/or a teacher. This session helps determine the most suitable syllabus and class placement for the applicant.

Audition sessions are free of charge. Students may observe or participate in one class, at the discretion of the teacher.

Following a successful audition, registration is completed through an official registration form along with payment of a non-refundable annual registration fee. At this stage, fees may be paid by cash or cheque, payable to BRT Academy.

Students may cancel their registration after one or two classes. In such cases, fees paid beyond the classes attended will be refunded, excluding the non-refundable annual registration fee.


 
Pick-Up, Drop-Off & Parking

Parents must ensure students have entered the class before leaving the premises.

Due to limited parking availability, parents who choose to wait are requested to park away from the immediate area as a courtesy to neighbors and other families.

Students may leave class only when accompanied by a parent or responsible adult, previously authorized and communicated to the instructor.

Please ensure timely pick-up of children. Parents are not permitted to remain during class time. Parents may observe classes only on designated assessment days.

BRT Academy is not responsible for students once they leave the class premises.


 
Payment & Attendance Policy

At BRT Academy, term fees secure a student’s place for the entire duration of the term. Teacher schedules, choreography planning, and studio rentals are based on confirmed enrollment.

1. Tuition & Payments

Tuition is based on term enrollment, not on the number of classes attended.

All fees are payable strictly as per the official invoice issued by BRT Academy. Payments must match the invoiced amount in full. Self-calculated payments, partial payments, or unilateral adjustments will not be accepted.

Fees are due in full within two weeks of the invoice issue date or by the stated deadline, whichever comes first, and must be paid via e-transfer.

Any questions or concerns regarding an invoice must be communicated before payment is made.

A late fee of $20.00 will apply to overdue payments and may increase if payment remains outstanding.

Late or post-term payments will not be accepted.

Refunds or partial reductions are not available once the term has begun, except in cases where BRT Academy cancels a class.

In the event of late arrival, teachers are not obligated to extend the lesson beyond the scheduled class time.


 
2. Missed Classes

Missed classes are non-refundable and non-transferable.

Students may make up one missed class per term, subject to availability of a similar-level class within the same term.

Make-up classes cannot be carried forward to future terms.


 
3. Pre-Declared Absences (University Students)

University students with known absences (due to exams, travel, or fixed commitments) must notify the Academy before the term begins.

Fees may be pro-rated in advance, based on the number of classes attended.

Absences reported after the term has started are not eligible for adjustments or refunds.

This option applies to a maximum of three pre-declared absences per term.


 
4. Extended Absence or Medical Reasons

In cases of extended absence due to illness or injury, the Academy must be notified as soon as possible.

A credit toward a future term may be offered at the sole discretion of BRT Academy, depending on the circumstances.


 
5. Commitment & Consistency

Regular attendance is essential for choreography continuity, performance preparation, and student progress. We appreciate the commitment of students and families in maintaining a focused and respectful learning environment.


 
Dress Code

Proper attire is mandatory to allow teachers to observe posture, alignment, and technique clearly.

Beginners
  • Any color top with loose-fitting pants or pyjama

  • Bare feet

  • Long scarf tied around the waist

  • Hair tied back securely

Intermediate
  • Any color top or practice saree (preferred) with loose pants or pyjama

  • Bare feet

  • Long scarf (if not wearing a practice saree)

  • Hair tied back securely

Advanced
  • Practice saree with loose pants

  • Salangai

  • Bare feet

  • Hair tied back securely


 
Hygiene

Students must maintain high standards of personal hygiene due to close physical proximity during classes. Carrying personal hygiene essentials such as wipes, deodorant, towels, or light fragrance is strongly encouraged.


 
Performances

Attendance at all rehearsals is mandatory for performance participants. Rehearsals are considered regular classes and are covered under term fees.

Missing more than one rehearsal for non-emergency reasons may result in the student being replaced or choreography being modified.

Participation in performances is a privilege, not a guarantee. Teachers and directors reserve the right to determine performance readiness and participation.

For recitals, competitions, or external performances, costs related to venue rental, costumes, and amenities may be shared between parents and BRT Academy.


 
Competitions

Students participating in competitions must:

  • Attend all additional rehearsals

  • Maintain 100% attendance at regular classes

  • Have successfully completed at least the beginner level

  • Commit to a minimum of 6 hours of practice per week


 
Media Use & Performance Videos

All music and video materials are the intellectual property of BRT Academy and may only be used for Academy-approved purposes.

Performance videos may not be shared on social media without prior written consent from a director. Violations may result in penalties as deemed appropriate.


 
Behavior & Conduct

Disruptive behavior, misconduct, or non-compliance with Academy policies will not be tolerated. Consequences may include sitting out of class, suspension, or dismissal without refund.

Gum chewing is strictly prohibited during class.

BRT Academy reserves the right to reprimand, suspend, or dismiss students at any time for failure to adhere to Academy policies.
